For Group Practices

Group credentialing built around your group NPI

Your organization gets one company account. Every provider credentialing under your group NPI lives inside it, each in their own organized file. When you hire, you add a name and an email. The new provider onboards themselves through a secure invite link, and your group's details are never typed twice.

We handle the credentialing. Your portal shows you every phase, every payer, every document, for every provider, in real time.

How It Works

Adding a provider takes minutes, not weeks

Most credentialing services make you fill out the same packet for every hire. Your company account changes that.

1

You add their name and email

From your company portal, two fields. Your group NPI, EIN, and business details are already on file, so that's all we need from you.

2

They onboard themselves

The provider gets a secure invite link, sets up their own login, and enters only their personal information, licenses, and documents. The group questions never appear for them.

3

We credential. You watch.

Our team runs CAQH, verification, payer applications, and follow-up. You see the new provider move through all seven phases from the same dashboard as the rest of your group.

One portal. Two experiences. Zero repeated paperwork.

What the owner sees
  • Every provider in your organization, each in their own file
  • Phase-by-phase progress for every credentialing file
  • Every document, license, and expiration date in one place
  • Invite status for every pending provider, with one-click resend
  • Renewal alerts across the whole group, 90 days out
What the new provider does
  • Clicks the invite link and creates their own login
  • Enters their personal information, NPI, and specialty
  • Adds their licenses and uploads their own documents
  • Never touches the group NPI, EIN, or business profile
  • Sees only their own record, nothing else in your group

Group credentialing questions we hear every week

How do I add a new provider to my group NPI?

The provider needs their own individual NPI, an active license, and their credentialing documents. Then each payer requires an application linking them to your group. With Heavenly Ink, you add the provider's name and email in your company portal, they complete their own file through a secure link, and our team prepares and submits the payer applications under your group. For the full breakdown, read our step by step guide: How to add a new provider to your group NPI.

Do new providers have to fill out our company information again?

No. Your group NPI, EIN, business address, and practice details live in your company account once. Providers you invite only enter their personal information, licenses, and documents. The group-level questions never appear for them.

How long does it take to credential a provider under a group?

It varies by payer. Medicare and Medicaid typically move faster than commercial panels, and a complete file moves faster than one with gaps. Our average time from intake to first payer application submitted is 30 to 45 days, and your portal shows the live status of every application so you are never guessing.

Can our office manager run the portal instead of the physician owner?

Yes. The company account belongs to whoever runs credentialing for your organization. That can be the owner, an office manager, or an administrator. They get the full company view: every provider, every document, every deadline.

What happens when a provider leaves or a license comes up for renewal?

Every license, DEA certificate, and CAQH attestation across your group is tracked with alerts starting 90 days before expiration. When providers join or leave, we handle the payer updates so your rosters stay accurate and your claims keep flowing.
